Getting Started Checklist

  • Located in the bottom left-hand corner.
  • The Checklist will provide you with in-app walk throughs of basic functionality within Cassadol.
  • For example – How to create contacts, patients, services, and invoices, as well as managerial tasks such as how to upload your logo and set up email

Please note these experiences are user based, and you can only go through them once. If sharing an account, you may want to go through the start up checklists together. 

“Need Help?” Tab

  •  Located on the left-hand side of screen. 
  • The “Need Help?” tab will be your initial resource for getting information. This tab will provide additional in-app experiences. The listed experiences will be dependent on the page you are on within Cassadol. 
  • For Example – If you are in the patient’s section, you can be walked through how to set the ownership on a patient. We will be adding more experiences to this section, so keep checking back when you are looking for some initial help.

Support Portal 

  • When the in-app resources are not enough and you have further questions, you can access our support portal for help or submit a help request ticket to get a personal response from our support team.

Support Portal:

  • You can visit and register on the Support portal by going to the following link https://cassadol.businessinfusions.com/ 
  • 24/7 access to a knowledge base of articles and videos. 
  • These articles and videos will provide in-depth details on various topics.

Submitting Help Requests: 

  • Send an email to cassadol@businessinfusions.com  
  • Once you submit a ticket, our support team will be notified and respond to your question or issue as soon as possible. 
  • Tickets are responded to Monday – Friday 8am – 5pm MT

Credit Card Processing

You can take credit card payments right from within Cassadol! Taking and storing credit cards from Cassadol is done with PCI compliance and through our partner Clover Connect. We recommend starting this process as soon as possible as it may take a few days to finish the process. 

Key Points: 

  • Cassadol does not charge for this service. Clover Connect charges $10 per month for the account
  • Clover Connect’s standard processing fee is 2.9% + 0.25 per transaction (subject to change based on CloverConnect price increases)
  • PCI Compliant 
  • US based practices – Complete the full application online. You will just need your basic banking information.
  • Canada based practices – Fill out a contact request form. Clover Connect will reach out to complete the application with you.
  • Clover Connect will get you set up with a credit card terminal. 

Beginning the Clover Connect Process:

Step 1: Click the gear button in upper right-hand corner

Step 2: Find and click the Clover Connect button along the left-hand menu

Step 3: Click Clover Connect Application button

Upload Your Logo 

You can upload your practice logo to print on invoices, statements, and reports.

To Upload Logo: 

  • Step 1: Click on the gear settings button in the upper right-hand corner.
  • Step 2: This opens the Practice Settings Tab.
  • Step 3: Hover over the Practice Logo image in the upper right- hand corner.
  • Step 4: Choose Upload Logo.
  • Step 5: Browse your computer for the saved logo.

** There is a 4MB size limit on logos and recommend a dimension of 1” x 1”.

Set Up Your Email

To send emails from Cassadol for  Invoices, Statements, Reminders, and Medical Records you will need to enable email from within Cassadol. There are two options for enabling emailing – Use your current email provider or use ours.

To Enable Email: 

  • Step 1: Click the gear settings button in the upper right-hand corner
  • Step 2: Find and click Email Settings
  • Step 3: Pick if you want to use Your Email Settings or Our Email Settings

Using Our Email settings:

All emails sent via our server will come from a “@software.vet” address with a reply-to email address of your choice. You can pick the part prior to the domain, most often the practice name (example: mypractice@software.vet). 

Using Your Email Settings:

Sent emails will be coming from your set email address. These are sent using SMTP and will show from your sent box. Your SMTP server / service provider must be able to accept inbound SMTP emails from our servers located within Amazon Web Services, if they are unable to accept emails, then you will need to use our servers to send emails.

 

You will need specific settings based on the email provider, such as SMTP Server name. We can help provide this information for the standard email providers. MOST providers require you to create an app password from your email account. Information for standard emails can be found within Cassadol in Email Settings. Please be sure to click the drop down of you email provider to find information as well as a link to learn more about creating an App Password to input in the Cassadol Email Settings password field. 

Here is an example setup using Gmail. Your settings will differ based on your email provider.

  1. Email – As Desired
  2. Display Name – As Desired
  3. Reply to Email – As Desired
  4. Server Name – smtp.gmail.com
  5. Port – 587
  6. SSL Required – Enabled
  7. Username: Full email address including the @gmail.com portion
  8. Password: ******

**For Gmail you are required to create and use an App password – Instructions on how to set this up!

Data Conversion 

When transitioning into a new software the data conversion is often the scariest and most important part. We want to try and make this as easy and painless for you as possible. 

 

We will complete a data conversion from your previous software into Cassadol for you. There is a one-time fee for this service of $499. If we have converted your previous software before, we will usually convert the data into Cassadol within 48 hours from receiving the data back up. If we have not, please be prepared for a longer turn around time. 

You can opt to not do a data conversion and start fresh as well. 

IMPORANT TO REMEMBER:

  • Invoices – All invoices should be finalized in the previous software. As well as any corrections that need to be made.
  • Account Balances – All account balances should be corrected as needed and accurate in the previous software prior the backup being taken. 
  • Attachments – For patients that have attached files on their record, the actual files are needed.
  • AR Reports – An AR report is required so we can audit the account balances, post data conversion, and ensure all balances that are transferred are accurate.
  • Uploading Data –The previous software is uploaded right from within Cassadol. If you are comfortable taking a backup and AR report from your previous software, you can complete this when ready. If you would prefer, we can coordinate a time for someone to assist in getting the database/AR report and uploading it with you. 
  • Backup Completion – Once the backup is taken you will still have access to your old system for reviewing data but should not enter data into it unless you plan to manually recreate that in Cassadol.

User Accounts

We recommend one user account for each person accessing the system. The reason for this is audit and legal compliance. When each user has an account, Cassadol tracks what user performed which tasks.  This is critical for medical record vs. administrative tracking.  Veterinarians are solely responsible for their medical records from a legal perspective. Cassadol charges monthly based on the number of user accounts.  Users can be added or inactivated by you.

To Add a New User: 

  • Step 1: Click the gear settings button in the upper right-hand corner.
  • Step 2: Click the Users tab 
  • Step 3: Click Create User in upper right-hand corner 
  • Step 4: Fill out Name, Email, and add Role (Doctor, Technician, Administrative, Etc.) 
  • Step 5: Click Create. This will then prompt you to the Update Subscription page. 
  • Step 6: Adjust Quantity for new users being added.  
  • Step 7: Click Upgrade. This will charge a prorated amount for the new user.
  • Step 8. Fill out additional optional details.  

 

To Create Roles: 

  • Step 1: Click the gear settings button in the upper right-hand corner.
  • Step 2: Click the Reference Data tab on bottom left-hand side. 
  • Step 3: Click User Types tab.
  • Step 4: Click Add New Entry.

To Inactivate a User (Users cannot be deleted, only inactivated):

  • Step 1: Click the gear settings button in the upper right-hand corner.
  • Step 2: Click the Users tab 
  • Step 3: Click Edit on the User you want to Inactivate 
  • Step 4: Click the Active bar to toggle it Inactive. This will prompt you to the Update Subscription page. 
  • Step 6. Adjust Quantity and Click upgrade.

Setting Notes to Print on Invoices

You can have your medical records that you input during invoicing print on the invoices and statements. If you want your notes to print, you will want to make a quick adjustment to the note settings. You can also add additional note types to help with organizing your medical records.

To Adjust the Notes Options: 

  • Step 1: Click the gear settings button in the upper right-hand corner.
  • Step 2: Click the reference data tab.
  • Step 3: Find the note type tab.
  • Step 4: Click Edit on the Note you want to appear on an invoice.
  • Step 5: Check off the Invoice Print Check box.

* If you want the note to print on the Medical Record for client, you must have Patient Print AND Invoice Print checked. You can find more information on setting note types in the support portal.
